Privacy Policy

Overview

This Privacy Policy explains what information Pet Farewell Finder (the "Site," "we," "us," "our") collects, how we use it, and who we share it with. It applies to visitors, provider accounts, and anyone who submits a form, claims a listing, or uses our chat assistant.

By using the Site, you agree to the collection and use of information as described here. See also our Terms of Service and Listing Policy.

Information We Collect

Account information

If you create an account (for example, to claim or manage a provider listing), we collect your email address, name, and a securely hashed password. We never store your password in plain text.

Provider claims and edits

When you claim a listing, we collect the business email and phone number you provide, a description of your relationship to the business, and your chosen verification method. When you submit profile edits, we collect the changes you request.

Contact, corrections, and business submissions

Our contact and correction forms collect your name, email address, and message; these are sent directly to us by email and are not stored in our database. If you submit a new business to the directory, we collect and store the business details and your contact information (name, email, phone) so we can review the submission and follow up with you.

Pet memorial submissions

If you create a pet memorial page, we collect the information you provide about your pet, your email address, and the IP address of the submission, which we use to prevent spam and abuse.

Chat assistant

Our AI chat assistant is designed to help you find relevant services. Conversations are logged for quality and safety review. Before we store a conversation, we automatically redact information that looks like a phone number, email address, street address, or ZIP code. This redaction is a best-effort filter, not a guarantee — please avoid sharing sensitive personal details in chat that you would not want retained. We also store a one-way cryptographic hash of your IP address (not the IP address itself) to apply rate limits and prevent abuse.

Payment information

Provider subscription payments are processed by Stripe. We do not receive or store your full card number or other sensitive payment details — those are handled entirely by Stripe in accordance with its own privacy policy. We store limited billing metadata, such as your subscription status and Stripe customer/subscription identifiers.

Usage and analytics data

We use Google Analytics to understand how visitors use the Site — for example, which pages are viewed and which links are clicked. Google Analytics may set cookies in your browser and collect information such as your approximate location, device and browser type, and pages visited. We also set a small number of our own first-party cookies to keep you signed in and to prevent duplicate actions (such as lighting a memorial candle more than once). We do not use third-party advertising cookies.

How We Use Information

We use the information we collect to:

• Operate, maintain, and improve the Site and directory
• Create and manage your account, and process listing claims and edits
• Communicate with you about your account, claim, submission, or subscription
• Process provider subscription payments through Stripe
• Respond to contact and correction requests
• Provide and improve the chat assistant
• Detect, prevent, and investigate spam, abuse, and fraud
• Understand aggregate site usage through analytics
• Comply with legal obligations

We do not sell your personal information.

Who We Share Information With

We do not sell or rent your personal information to third parties. We share information only with the service providers that help us operate the Site, including:

• Stripe — to process provider subscription payments
• Anthropic — to power our AI chat assistant; messages you send in chat are processed by Anthropic's API to generate a response
• Google — for analytics (Google Analytics) and for looking up publicly available business information, such as ratings, for provider listings (Google Places)
• Our email delivery provider — to send account, claim, and notification emails
• Our database and hosting providers — to store and serve Site data

We may also disclose information if required by law, to protect the rights and safety of Pet Farewell Finder, our users, or the public, or in connection with a merger, acquisition, or sale of assets.

Cookies

We use a small number of cookies:

• A session cookie that keeps you signed in to your account
• A cookie that prevents a memorial candle from being counted more than once from the same browser
• Google Analytics cookies, which help us understand aggregate site usage

You can control or delete cookies through your browser settings. Disabling cookies may affect your ability to stay signed in or use certain features.

Data Retention

We retain account, claim, and submission information for as long as your account or listing is active, or as needed to comply with our legal obligations, resolve disputes, and enforce our agreements. We do not currently have an automatic deletion schedule for chat conversation logs; they are retained for quality and safety review and may be deleted upon request as described below.

Your Choices and Rights

You may ask us to access, correct, or delete the personal information we hold about you by contacting us. We will respond to reasonable requests within a reasonable timeframe. Because Pet Farewell Finder does not yet offer self-service account deletion or data export tools, these requests are currently handled manually.

If you no longer wish to receive account or claim-related emails from us, you can reply to those emails or contact us directly. Some communications, such as security or transactional notices, cannot be opted out of while your account is active.

Data Security

We use reasonable administrative and technical safeguards to protect your information, including password hashing and encrypted session cookies. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Children's Privacy

Pet Farewell Finder is not directed to children, and we do not knowingly collect personal information from children under 13. If we become aware that we have collected information from a child under 13, we will delete it. If you believe a child has provided us with personal information, please contact us.

Third-Party Links

The Site may link to provider websites and other third-party resources. This Privacy Policy does not apply to those third-party sites, and we encourage you to review their privacy practices separately.

Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be effective immediately upon posting to the Site, and we will update the "Last updated" date above. Your continued use of Pet Farewell Finder after changes have been posted constitutes your acceptance of the revised policy.
